Name the notice you gave and what they may already have invested. A quick sorry, something came up can sound as though their preparation never entered your calculation.
Explain briefly and repair what can be repaired
Share enough context to make the cancellation understandable, then move to refunds, fees, tickets, transport, or a replacement plan. Do not make them chase you for costs your decision created.
- Offer to cover nonrefundable expenses you caused.
- Suggest two realistic alternatives if a new date helps.

Address a repeated pattern honestly
