Choose the right purpose for the message
Decide whether the message is meant to inform, apologize, ask, support, or close a practical loop. For a message about how to complain about poor contractor work, use this factual base: include the product or service, order number, dates, price, fault, prior contact, and supporting record.
Use detail that helps a decision
Include the smallest set of details that lets the recipient understand the impact and choose a response. Request a specific lawful remedy and give a reasonable response date before formal escalation. Make the immediate next step clear enough that the recipient can answer without reconstructing the entire history.
Know what the message cannot achieve
Do not exaggerate, threaten staff, publish private details, or demand compensation unrelated to the loss. Use payment, regulator, insurance, police, data protection, or legal channels for fraud, danger, or unresolved rights. The message can offer clarity, but it cannot guarantee forgiveness, agreement, attention, or renewed contact.
