Choose the right purpose for the message
Decide whether the message is meant to inform, apologize, ask, support, or close a practical loop. For a message about how to resolve conflict after a client blames the team, use this factual base: identify the task, decision, deadline, role, or resource and use dated examples of the impact.
Use detail that helps a decision
Include the smallest set of details that lets the recipient understand the impact and choose a response. Propose an owner, working rule, or decision route and set a short review point. Make the immediate next step clear enough that the recipient can answer without reconstructing the entire history.
Know what the message cannot achieve
Do not retaliate, gossip, conceal risk, or turn a process disagreement into a personal accusation. Use HR, a representative, security, or legal support for discrimination, harassment, threats, retaliation, or unsafe work. The message can offer clarity, but it cannot guarantee forgiveness, agreement, attention, or renewed contact.
