Make the first sentence usable
Lead with the reason for writing so the recipient does not have to decode a long emotional introduction. For a message about how to return to work after extended leave, use this factual base: state the role, policy, decision, dates, and process that apply without disclosing another employee's information.
Reduce the work of responding
Offer simple options, a narrow question, or a clear update that can be understood without another conversation. Explain the available next step, support, review route, or deadline and name the correct contact. Make the immediate next step clear enough that the recipient can answer without reconstructing the entire history.
Respect the boundary already visible
Do not imply a guaranteed outcome, retaliate, or use informal pressure where a formal process is required. Use HR, a representative, legal advice, or emergency support for discrimination, harassment, threats, or immediate danger. A block, explicit refusal, legal restriction, or safety plan takes priority over the desire to explain more.
